MANAGING YOUR SALES PROCESS

Know where every deal stands.
Keep the next step in sight.

Quickly see who owns the case, what was agreed and when to follow up. SalesAgentAI connects conversations, offers and tasks to the customer and sales stage.

Inquiries from email, website chat, forms and phone enter one sales process. Your agent and salesperson use the customer and case context, even when the channel changes. You set assignment rules and AI autonomy for each contact source.

01

Know your customer before the conversation.

Contacts, company details and conversation history form one customer view. A company can have several contacts and multiple open cases, each with its own requirements and agreements.

02

Every enquiry belongs to a case.

Each message is linked to the right customer and case. Your team sees the need, stage, quote and owner. When the assignment needs a decision, it is sent to a team member for review.

03

Every next step has a deadline and owner.

The agent gathers missing details, prepares a reply or quote and keeps track of follow-up. Each task has a deadline, an owner and conversation context; actions that require permission are sent for approval.

Which next step makes sense?

The agent sends the customer an offer link in line with company permissions and rules. The system records link opens, which the agent considers alongside customer replies and case progress when choosing the follow-up message and timing. It respects previous agreements, intentional pauses and required approvals.

  1. If the customer has not opened the offer, the agent can send a reminder. Once the offer has been opened, the next contact can address questions or a decision. No recorded open does not necessarily mean a lack of interest.
  2. The customer asks for contact next week — the agent respects that timing.
  3. The customer is unsure whether the product fits — the agent asks about its use and helps resolve their concerns.
  4. The terms require a decision — the agent submits the proposal and context for approval.
Why did we lose the deal? Ask the customer.

A lost status alone does not explain what happened. The agent follows up with a brief question about the decision and saves the customer's answer with the quote.

“What led you to choose another offer? What would need to change for our proposal to better meet your needs?”

  1. Records the reason against the specific proposal: for example price, timing, product fit, competition or a postponed purchase.
  2. Retains the customer’s answer and its source. Separates a confirmed reason from a salesperson’s or AI’s assumption.
  3. If the customer does not reply, records “no data”. Silence does not automatically mean the price was too high.

This gives you data on lost proposals to assess what to improve in your offering and sales approach.

Discounts: a customer need or a salesperson’s initiative?

The agent helps protect margins by assessing discount justification and compliance with company limits. It shows whether a reduction addresses a stated purchasing barrier or was proposed by the salesperson before the customer raised price.

  1. Records who first proposed a discount — the customer or the salesperson — and at what stage of the conversation.
  2. Checks the reasoning in the conversation. A discount request alone does not prove the customer will not buy without it.
  3. It asks about the barrier, helps demonstrate the solution’s value and checks discount limits. Terms beyond the agent’s authority are submitted for approval.

The team can see the discount’s source, rationale and deal outcome, and assess when a reduction helps and when the need is unconfirmed.

Reporting agent: what needs attention today?

The agent brings together information from cases, conversations, offers and tasks to highlight priorities and sales blockers. Ask in your own words about a customer, overdue work or the state of your team.

  • For salespeople: priorities for their own cases, customers waiting for a reply, overdue deadlines and next actions.
  • For managers: an overview of the teams and branches they can access — overdue work, cases without an owner or next step, risks and decisions needed.

The report links follow-ups with subsequent offer opens, customer replies, won cases and sales value. It shows recorded outcomes after contact; we assess its impact using an agreed measurement method.

Each person receives only the information they are allowed to access. When data is missing, the agent says so. The summary helps you choose the next action.

What happens when a salesperson does not reply?

When a customer waits longer than the agreed time for a reply, the agent automatically continues service according to company rules. It uses the existing agreements and case context.

  1. Your company sets the waiting time, takeover scope and actions the agent may perform on its own.
  2. The agent continues the conversation within the permitted scope and shares prices only when company rules allow it.
  3. Intentional pauses and required human decisions remain in force. Cases outside the agent’s permissions go to your team.

We tailor channels, integrations and autonomous actions to your sales process. Your team decides which steps the agent handles and which require a person's decision.

PHONE CALLS IN YOUR SALES PROCESS

After the call,
you know what comes next.

Your salesperson or voice agent handles the call. The transcript, summary and next step stay with the customer and case, so your team can continue the sales process.

CALLS HANDLED BY YOUR TEAM

Phone

Your salesperson answers incoming calls and calls customers. The system links each conversation to the person, company and relevant case.

After the call, it keeps the transcript, summary and agreements. The next step becomes a task with a deadline and owner.

Before the next call, the salesperson sees earlier messages, the quote and commitments. Another team member can take over without reconstructing the conversation from scratch.

CALLS HANDLED BY A VOICE AGENT

AI Phone

The agent answers calls or calls customers during configured hours and under your company rules. It introduces itself as AI at the start of the call.

It uses company knowledge, answers questions, gathers requirements and agrees on the next step. When it lacks the knowledge or authority to proceed, it hands the case to a person with the conversation context.

The transcript, summary and agreements are saved with the customer and case. Your team receives follow-up tasks with a deadline, owner and details from the call.

Text and voice service also runs outside your team’s working hours, according to the agreed schedule and level of autonomy. Conversations and agreements stay with the customer and case.

We agree on call handling, conversation records and handoff to your team as part of implementation. AI Phone works within the agreed scenarios and permissions.
